The Answer First: Ask These 7 Questions Before You Sign Anything

If you're evaluating a fixture manufacturer—whether for BEGA-compatible wall lights, custom downlights, or private label spotlights—run them through this list. Numbers 3 and 5 are where most suppliers expose themselves.

Here's the shortcut version. Require written confirmation of: (1) UL/ETL file number, (2) exact downlight specifications including CRI, CCT tolerance, and driver brand, (3) production sample lead time, (4) MOQ for private label, (5) tooling ownership, (6) warranty terms in writing, (7) a named reference project from the last 12 months.

If any of those seven comes back vague, you've found your answer. Walk.

Not dramatic. Not negotiating strategy. Just arithmetic from someone who's paid the tuition.

Why You Should Trust This List (And Why I Built It)

I'm a procurement specialist handling architectural and commercial lighting orders. Been doing this for eight years. I've personally made—and documented—four significant mistakes totaling roughly $43,000 in wasted budget. Now I maintain our team's pre-check list so nobody repeats them.

The worst one happened in March 2022. I ordered 1,200 recessed downlights for a hotel corridor project. The specifications sheet said "3000K, 90 CRI, trailing edge dimmable." Looked fine on my screen. I approved it. The shipment arrived, we installed 400 units, and the client's facilities manager called three days later asking why half the fixtures were flickering.

Turns out the drivers were trailing edge compatible—barely. They worked with some dimmer models and not others. The specification didn't mention driver brand or dimming curve. We'd assumed.

That assumption cost $8,900 in replacement fixtures plus a one-week delay and a very uncomfortable call with the client. That's when I learned: if the downlight specification doesn't name the driver brand and include the dimming curve, it's not a specification. It's a suggestion.

(Should mention: the manufacturer did honor the warranty and replaced them. But the installation labor and the schedule hit? On us.)

The 7-Point Evaluation in Detail

1. Certification: Demand the File Number

Every legitimate fixture manufacturer for the US market carries UL or ETL certification. But here's the thing—plenty of companies will say "UL certified" without being able to produce the actual file number.

Ask for it. Then verify it at UL's product iQ database or Intertek's directory. Takes four minutes.

I once got a certificate that looked perfect. Right logo, right format. Except the file number belonged to a completely different product category—industrial control panels, not luminaires. The vendor had just... cropped the certificate and put their name on it.

Never expected that level of audacity. Turns out it's not as rare as I'd hoped.

2. Downlight Specifications: The Three Things That Actually Matter

Most spec sheets list watts, lumens, and color temperature. That's baseline. The three numbers that separate a reliable fixture from a callback are:

  • CRI (Color Rendering Index): Ask for the tested value, not the "typical" value. A fixture rated ">80 CRI" might test at 81 or 89. In hospitality and retail projects, that difference is visible.
  • CCT Tolerance: "3000K" could mean 2700K to 3300K under ANSI standards. Ask for the actual bin tolerance. If they can't tell you, they don't know.
  • Driver Brand and Dimming Protocol: This is the one that got me. Trailing edge, leading edge, 0-10V, DALI—they're not interchangeable. Get the driver model number and the dimming curve in writing.

Last year I reviewed a spec for a BEGA-style wall light. Beautiful fixture. But the downlight specification listed "dimmable" with no protocol. When I asked, the sales rep said, "It works with most dimmers."

That's not an answer. That's a coin flip.

3. Sample Orders: The $200 Test That Saves $20,000

Some manufacturers won't do sample orders under their standard MOQ. I understand the economics—setting up a small run costs money. But here's my position: any manufacturer that refuses a paid sample order is telling you something about how they'll handle a quality dispute on a full production run.

When I was starting out, the vendors who treated my $200 sample orders seriously are the ones I still use for $20,000 orders. Small doesn't mean unimportant. It means potential.

That said, I've had suppliers quote me a 4-week lead time on a 10-piece sample order. Which brings me to the next point.

4. Lead Time Reality Check

Quoted lead times are almost always optimistic. The question isn't "what's your lead time?" but "what's your actual on-time delivery rate for the last 12 months?"

Honestly, I'm not sure why some vendors consistently beat their quoted timelines while others consistently miss. My best guess is it comes down to internal buffer practices—some pad the quote, some don't. Either way, ask for the track record, not the promise.

5. Private Label and OEM Terms: Read the Tooling Clause

If you're sourcing private label spotlights or OEM fixtures, the tooling ownership clause matters more than the unit price.

Three things to confirm:

  1. Who owns the molds and tooling? (You should, if you're paying for them.)
  2. Can you transfer tooling to another manufacturer? (If not, you're locked in.)
  3. What happens to tooling if the relationship ends? (Get this in writing.)

I've seen buyers negotiate a great per-unit price, then discover two years later that switching suppliers means re-tooling from scratch. That $2 savings per fixture starts looking very expensive.

6. Warranty: Specifics or It Doesn't Count

"5-year warranty" means nothing without the terms. Ask:

  • What's covered? (Driver? LED module? Housing? Finish?)
  • What voids it? (Voltage spikes? Improper installation? Outdoor use?)
  • What's the claim process? (Replacement? Credit? Who pays shipping?)

Per FTC guidelines on warranty disclosures (ftc.gov), warranties must be available for review before purchase. If a manufacturer won't share the full warranty document before you order—that's a flag.

7. Reference Projects: Recent and Reachable

Every manufacturer has a project page with beautiful photos. Ask for a reference from the last 12 months that you can actually call.

The surprise wasn't that one supplier couldn't provide a reference. It was that they sent me a reference from 2019 for a project I later found out had been completely re-fixtured in 2021. Make of that what you will.

When This Checklist Doesn't Apply

Fair warning: this evaluation framework assumes you're buying architectural-grade fixtures for commercial or hospitality projects. If you're sourcing basic residential downlights for a low-cost housing development, some of these points are overkill. Certification still matters. Driver brand probably doesn't.

Also, this was accurate as of Q1 2025. The lighting market changes fast—especially with LED driver technology and the ongoing shift toward PoE and wireless controls. Verify current standards and certifications before you commit to a specification.

And look, I'm not saying budget suppliers are always bad. I'm saying they're riskier. If you've got the time to absorb a production delay or a quality issue, the savings might be worth it. If you don't—if you're on a fixed install date with a client waiting—pay for the certainty.

One more thing. I've never fully understood why some manufacturers treat small sample orders as a nuisance rather than a sales pipeline. If someone orders 50 fixtures from you now, they might order 5,000 in two years. That's not speculation. That's how I picked every long-term supplier I work with today.
